1. Who we areShootflow is operated by Fluential Studio Pty Ltd, based in Australia. Shootflow provides desktop and web software for photography studios to manage file processing, uploads, and workflow coordination with editors.
2. Information we collectAccount information: name, email address, and password when you create an account.

Studio and shoot data: studio names, shoot metadata (names, dates, file counts, notes), and workflow status.
Upload activity: file names, sizes, upload progress, and timestamps to track workflow status and display progress to studio owners.
Cloud storage tokens: OAuth access and refresh tokens for third-party services (e.g. Dropbox, Google Drive) that you connect. These are stored locally on your device and used solely to upload files on your behalf.
Device information: operating system and app version, collected for support and compatibility purposes.
3. How we use your information- To provide and operate the Shootflow service (file processing, uploads, workflow tracking).
- To display upload progress and shoot status to authorised studio members.
- To upload files to your connected cloud storage on your behalf.
- To send notifications about shoot progress (e.g. via Signal, if configured by the studio).
- To improve the service and fix bugs.
4. Third-party servicesShootflow integrates with the following third-party services:Supabase: authentication and database hosting (your account and shoot data is stored here).
Dropbox: file uploads to your connected Dropbox account. We only access folders created by Shootflow.
Google Drive: file uploads to your connected Google Drive account. We only access files and folders created by Shootflow.
Vercel: web dashboard hosting.We do not sell or share your personal information with third parties for advertising or marketing purposes.
5. Data storage and securityYour account data is stored in Supabase (hosted in Australia/US regions). Cloud storage tokens are stored locally on your device and are not transmitted to our servers. All communication between the app and our services uses HTTPS encryption.
6. Your photos and videosShootflow processes your files locally on your device (DNG conversion, video compression) and uploads them directly to your connected cloud storage account. We do not store, access, or view the contents of your photos or videos on our servers.
7. Data retentionWe retain your account and shoot metadata for as long as your account is active. You can request deletion of your account and associated data by contacting us. Upload session data is stored temporarily on your local device and is cleared after successful completion.
8. Your rightsYou have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and data.
- Disconnect third-party services (Dropbox, Google Drive) at any time.
9. Changes to this policyWe may update this privacy policy from time to time. We will notify you of significant changes via email or through the app.
